Scan-to-database software: How to convert paper documents into database records

DATA ENTRY FROM HARD AND SOFT COPY

Data is king and the database is the heart of the data. All business organizations have a database, whether based on SQL or NoSQL, that serves as a repository for all of their key business information. But how will you use this database if the data used in it is only available as a paper document? Data Entry From Hard and Soft copy can use. It is difficult to extract data from scanned documents such as PDFs, images or imported invoices. So what are the options for “database scan software” that can generate database records from documents?

So what do companies do if relevant data gets stuck in documents? How to extract data from scanned documents and transfer them to SQL (MySQL, Postgres, Access,…) or NoSQL (Mongo, Redis,…) database?

Often, manual data entry is the solution of choice over a fully automated “scan to database” process. Manually extracting and re-importing data from documents is not only time consuming but also error prone. A small error can lead to larger calculation errors and wrong results in the database. Manual data entry can a valid solution if you are dealing with a low volume of documents or if your document does not follow a certain layout structure.

However, manual data entry makes no sense if you process the same type of document every week and if your document follows a certain layout structure (e.g. invoices or forms).

Docparser is a software solution that can extract individual data points or table data (line items) from a document, post-process the data to suit your needs, and provide you with an easy-to-manipulate structure that can  import into your SQL. or NoSQL database. How does Docparser convert scanned document data into database records? First of all, Docparser is not traditional desktop scanning software because it does not connect to your scanner.

Docparser is software that will work after your document has scanned or someone else in your company. Our expertise is in extracting data from documents and ensuring that extracted data is available where you need it. So yes, we are “scanning to database software”, but the scanning should be done by you. Docparser is built for the modern cloud stack and comes with various cloud integrations that can help you retrieve your documents and move the analyzed data where it needs. The steps listed below apply to all types of databases – MYSQL, Postgre, Access Database or any other NoSQL database like Mongo.
1. Import your scanned documents or files into Docparser
2. Specify the data elements you want to extract
3. Configure analysis rules by selecting the data you need
4. Your extracted data is ready to download from our API or as a file
5. Put the extracted data in your database
You have data extracted from documents. And you need to send it to the database. That’s how we do it with Docpraser.

There are three ways to do this. You can choose one of them according to your business needs and depends on the database you are using – SQL, Access or any NoSQL database.

1. Download and upload – download the extracted data in the format you need and upload it to your database manually. Most SQL databases have an “upload” option where you can manually upload a file and use its data.

2. Docparser integration – to make your business processes seamless, we have integrations with several cloud-based platforms like Zapier, Workato, Google Sheets, and more. In this case, you do not need to download the unzipped data. Thanks to our integration, simply transfer the data to your backend.

3. API – if your business requires custom scripts, you can do that too. If none of our integrations have worked for you, you can develop your own custom script using the Docparser API and customize it to suit your business needs.
What kind of databases can Docparser work with?

That being said, there is no limitation regarding the database system you are using. In other words, it doesn’t matter whether your database is SQL, NoSQL or just a combination of Excel Sheets and Google Sheets, Oracle Database, IBM Database, SQL Database, SAP ASE , Postgre, MYSQL, Teradata, Informix or Mongo.

Can Docparser extract table data?

Docparser can extract simple data fields, as well as table data from your documents. While simple data fields may extract even if they have no fixed position in your document, a fixed document layout is required to extract table data.
